Just Engaged? When to Book Wedding Transportation in the NC Mountains

If you got engaged over the holidays, congratulations. Knowing when to book wedding transportation is one of the questions couples ask us most in December, January and February, right after the venue and the date. In the NC High Country, where venues sit on mountaintops and guests stay spread out across cabins and inns, transportation is one of the vendors that can shape your guests’ whole weekend.

When to Book: Right After the Venue and Date

Peak mountain wedding season runs from late spring through October, and the most popular fall Saturdays are spoken for well ahead. Once your venue and date are set, reach out for a transportation quote. Your date is locked in once the nonrefundable deposit is paid, so booking early is the surest way to get the vehicles you want for a busy Saturday.

Planning further out also means you can build the transportation plan around your guest list instead of squeezing it in late, and you have room to adjust as RSVPs come in.

How Guest Shuttles Work at High Country Venues

On Demand, Not a Fixed Loop

Our vans and drivers stay on site for the whole event and run guests whenever they are ready: early departures, mid-reception trips and the end of the night. Guests are not standing in the cold waiting for a scheduled loop.

Service Window

Wedding service typically starts about an hour before the ceremony and finishes about an hour after the reception ends, so arrivals and the last guests home are both covered.

Distant Venues and Arrival Timing

Many mountain venues are a long drive from guest lodging, so there is no time for several runs before the ceremony. For those venues we plan for everyone to arrive together, with roughly one 14-passenger van for every 14 guests who need a ride.

Plan Full, Trim Later

We quote full coverage first and tailor from there. If your numbers drop, you can release up to half of the vans you booked up to 45 days before the wedding. It is easier to release a van than to find one late in the season.

More Than Guest Shuttles

  • Bridal party transportation between getting-ready locations, photos and the ceremony.
  • Getaway car for the couple’s exit at the end of the night.
  • Airport pickups for out-of-town guests flying into CLT, TRI, AVL or GSO.
  • Rehearsal dinner and welcome party rides so guests are not driving mountain roads after dark.

What to Send for an Accurate Quote

  • Wedding date and venue
  • Ceremony and reception times (estimates are fine)
  • Where guests are staying: hotels, inns, cabins or rentals
  • About how many guests will need a ride
  • Any extras: bridal party, getaway car or airport pickups

Frequently Asked Questions

How far in advance should we book wedding transportation?

As soon as your venue and date are set. Popular fall Saturdays in the mountains fill early, and your date is locked in once the nonrefundable deposit is paid.

How many shuttles do we need?

For distant mountain venues where everyone arrives together, plan on roughly one 14-passenger van for every 14 guests who need a ride. We will build the plan around your venue and lodging.

What if our guest count changes?

You can release up to half of the vans you booked up to 45 days before the wedding, and the price adjusts before final payment.

Do the shuttles run on a schedule?

No. Our drivers stay on site and run guests on demand throughout the event, from before the ceremony until after the reception ends.
